Meeting Minutes

We have added an option to reinvite Gladis (the BoardCloud meeting bot) into an active meeting. This option is intended to allow a CoSec or meeting convener to invite a Gladis bot if Gladis:

• Fails to be allowed into a meeting
• Has an issue joining a meeting
• Has not been invited in the first place

As long as your meeting is active and you have the meeting link, the "Reinvite Gladis" button can be used to manually bring our BoardCloud AI notetaker into an active meeting.

Teams Integration, Now Powered by BoardCloud

This option allows a BoardCloud-generated Microsoft Teams meeting to be created and linked to your BoardCloud meetings. Simply hit the Teams button during meeting creation to automatically generate and attach a Teams link—no extra setup required.

The main reason for this is to avoid the tricky and technical task of allowing BoardCloud access to your organization’s Teams setup. This task usually involves highly skilled IT staff who are familiar with Teams backend security permissions and privileges.

Longer Silence Timeout for Uninterrupted Sessions

Gladis now stays connected through longer pauses—the silence timeout has been increased to 1 hour, so quiet stretches in your meeting (breaks, deliberations, etc.) won't cause it to disconnect early. Note that breaks longer than 1 hour are not supported.

Faster Agenda & Pack Building, with a Refined Reader

The builder service behind agenda creation, pack assembly, and PDF generation has been optimized—a short sentence for a body of work that took a month of hard work!

Now, building packets and minutes and exporting meeting materials is noticeably faster.

BoardCloud Reader

There have also been a number of subtle UI improvements to the Reader for a cleaner, more polished experience. These improvements are designed to make life easier for board and committee members.

Bug Fixes:

Gladis - Added missing status conditions for some of the Gladia error codes.

Member Directory - Added mouse pointer when hovering over member profile card UI.

eResolutions - Fixed bug with email notification templates, param name mismatch. (affecting signed, declined, revoked notifications)

Fixed bug with "GetMeetingGroupUsers" - fetch distinct (when members is assigned to the meeting via a committee and individually as well)

Forms - Fixed issue with members opening and submitting their assigned forms. (Works form everywhere, including email links)

Gladis - Modified safety and content blockers. (More lenient)

Feature Enhancements:

Changed website footer to fixed (always visible in page)

Improved css style for some of the more common UI elements within the site.

Agenda Manager, improvements to (Guest Access and Presenter functions as well as improved drag and drop behaviour)

Meeting - Enhanced and improved the meeting invite and review email templates, looking a lot more professional.

eResolutions - Added "Revoke" feature (resolution creators can now revoke the resolution. It can only be revoked up to the point that it is signed and completed)

eResolutions - Added "Delete" feature (resolution creators can now delete their resolutions (use with care, deletions are permanent)

eResolutions - Remodeled the UI for the list interface.

Gladis - Improved and condensed some of the auto minutes AI prompts.

Important Notes:

The "Restrict Access" feature on the Agenda Manager is currently broken and no quick fix is available to us. We have decided to disable this feature for the time being so that we can come up with a more elegant solution.

This update focuses on automation and centralized management to streamline your governance workflows. Here are the three major additions in Version 8.0:

1. Minutes Master (AI-Driven Drafting)

Unlike standard tools, Minutes Master synthesizes the full meeting context.

• What it does: Automatically records the meeting and creates a transcript of the meeting. The Minutes Master then uses AI to synthesize the transcript along with the with the agenda, RSVPs, member roles, and voting results into complete minutes.
• How it works: Invite the BoardCloud bot to your meeting to record and transcribe. A complete draft of meeting minutes will generated instantly for your final review and approval.

2. Centralized Resolutions Hub

We’ve replaced manual email chasing with an end-to-end resolution management system.

• Simplified Creation: Upload documents, select signatories, and set signing orders or expiration dates in seconds.
• Seamless Signing: Board members receive secure email links to sign without needing to log in.
• Tracking & Audit: Administrators get real-time visibility into document status. Once finished, a signed copy and a full audit report are automatically saved to your register.

3. Enhanced Forms Module

Forms have been made easier to manage and viewing results has been made more accessible. Other improvements include:

• Stand-alone Management: Create and manage forms independently from the meeting calendar.
• Improved Exporting: All form data can now be exported directly to Excel, CSV, or PDF for easier recording and reporting.

Note: This release also includes various stability patches and performance optimizations to ensure a smoother user experience.

BoardCloud Version 7.4 introduced two powerful enhancements designed to save hours of manual work: a streamlined end-to-end resolution workflow and fully automated, context-aware minutes creation.

A Central Hub for All Your Resolutions

The Resolutions Page eliminates that complexity of chasing signatures and manually tracking who signed what. The new resolution process makes initiation to completion a seamless process.

Now, users can manage the entire life-cycle of a resolution from a single dashboard:

• Simple Initiation: Upload their document, select their signatories, and set their signing parameters (like signing order and expiration dates) in seconds.
• Zero-Friction Signing: Board members receive a secure link via email and can sign without needing to log in, ensuring high completion rates and zero technical hurdles.
• Real-Time Tracking: Administrators get instant visibility into when a document is sent, viewed, and signed.
• Automatic Archiving: Once complete, BoardCloud automatically generates an audit report and saves the signed document directly into a resolutions register, ensuring compliance, transparency, and easy retrieval

This workflow isn’t limited to formal resolutions. Any document requiring member signatures can be managed in exactly the same way.

Context-Rich AI Generated Minutes

BoardCloud 7.4 introduces a Holistic AI Minutes Generator within our Minutes Wizard

Version 7.4 introduces what we believe is a genuinely different approach to AI-assisted minutes. Unlike many AI tools that merely summarize a transcript, BoardCloud synthesizes the entire meeting context by combining:

• The live meeting transcript.
• Your specific agenda outline and supporting documents.
• Attendance lists, voting results, and assigned tasks.

The result is a comprehensive, structured set of minutes that reflects the full context of the meeting. 

What previously required hours of post-meeting editing and formatting is now ready for review in moments. It’s another step forward in automating the full meeting lifecycle. 

As with every release, Version 7.4 also ships a range of performance improvements and bug fixes to keep the platform running smoothly behind the scenes. These include:

Voting Enhancement

Added the ability to record motion (vote) proposer, called Motioned By.  Also has a Seconded By member option. Voting works even when mentioned or seconded by fields are left blank.

Custom Member Profile Properties

We have added a custom field capability to the Member Profile. 

Any number of custom properties can be added to members profiles. Each custom property has a label (name) and a value to store. 

Supported custom data types include: 

• Yes/No
• Date and or date-time
• Text
• HTML text
• Drop down lists (cascading)
• Numeric

At this stage new field definitions need to be added by our technical team.

Email Fixes

We completely upgraded the mail sending libraries to most current SMTP versions. Many changes were made to ensure that mail sending operations are a reliable and smooth as possible.

Dashboard View Calendar Reworked

Recently we adjusted the landing page (Dashboard) page of BoardCloud to be less cluttered with a simpler look. The new calendar widget called My Meeting Planner was clunky and somewhat perplexing to use, so we rewired it to make it easier to browse past and future meetings.

Meeting Interface Improvements

Improved and simplified the meeting dash (Details) pane.

• Packs and minutes are now visually displayed as thumbnails
• Packs are now automatically assembled and displayed when these images are clicked.
• The new pack thumbnails can be seen in the image below. Clicking on the meeting pack image below will generate a new version and open it for viewing.

Publishing Meetings

Previously the publish action performed two tasks. First, the meeting was published, making it visible to members.

Second, a notification email was sent to all meeting attendees. These tasks have now been split so that notifications can be sent separately and to selected members instead of the entire committee.

A separate Publish button to publish a meeting (or minutes) is provided. 

Voting Systems

Improved the look & feel and functionality of the voting system. Most notably the meeting admin can now record votes for members who are not in the meeting.

Pack review Process:

Sending a pack for review has been simplified. Now any member(s) can be selected from the Notify dialog to receive a pack for review. The review process itself has been streamlined to make it easier for reviewers.

Pack Permalinks

Links to packs and meetings are sent as part of the notification email. These links are crafted to always lead to the latest published pack, no matter how many versions have been published.

Revisions Removed:

There is no longer a revisions pane at the bottom of the meeting. Revisions are only displayed for published meetings, and a history of revisions is available in the Cogs menu.
